1. After logging in, you will find the main application navigation down the left side. We will focus on "Visitor Management" to start.
The visitor management view is divided by two grids or tables. Host related data at the top and visitor related data at the bottom.
2. You can filter and find a host by selecting an option in the filter dropdown
3. And typing your search criteria, for example a host name or address, in the search text field
4. Selecting a host by clicking on the row in the host grid, will filter all the visitors at the bottom specific for the selected host.
You can further filter the visitors by selecting an option in the visitor filter dropdown
5. And typing your search criteria in the visitor search text field.
By default the data will only contain valid and non-expired visitors. To show expired visitors as well, check the "Show Expired" checkbox.
You can further filter on permanent or temporary visitors by selecting the appropriate option in the dropdown next to the checkbox.
6. To clear all search criteria and return to the default view, click the "nuclear" button at the top.
7. If there are any announcements or alerts, the "bell" button will appear at the top. Click to view.
8. To modify the columns you would like to see in the visitor grid, click the button with the 3 bars above the visitor grid. The selections will persist with your user account.
9. To view all visitor passes currently at the site, click the passes button above the visitor grid.
10. In the passes window that appears, you can filter by typing in the text field.
11. To process visitors for, or lookup information about a host, select a host by clicking on the row in the grid.
12. Quick view details about the host will appear on the left, including name, address, contact information, and notes
13. To view more detailed information about the host, click the host detail button
14. A window will appear in a tabbed layout, showing general profile details to start with.
Click "Vehicles"
15. A list of vehicles associated with the host will appear.
Click "Out of Town"
16. This tab will show if the host is currently away, with details about the entries.
Click "Family"
17. A list of the household or family members of the host will appear.
Click "Pets"
18. A list of pets the host might have added to their profile will appear.
Click "Access Credentials"
19. A list of credentials configured for the host will appear, if access control is enabled.
Click "Notes"
20. A list of all notes for the host will appear. Notes can be added by hosts themselves, or admins/officers. You can also add a new note here.
Notes added by admins/officers will not be visible to the host in their profile.
21. If the "Key Management" module is enabled, you will see the option and view keys associated with the host.
Click the "X" to close the window.
22. To add a new visitor for the selected host, click the green plus button.
23. The visitor pane will slide out from the right. Fill in all necessary fields and select appropriate items from any dropdown lists. A handheld scanner can also be used to scan a drivers license and auto fill related fields.
24. If enabled and a web cam installed, click the camera button to take a picture of the visitor.
25. The "Take Picture" window will appear. Click "Take Picture".
26. The picture taken will appear on the right side. Click "Accept Picture" to use it or "Cancel" to close.
27. Various options are available to continue at the top.
Click "Save" to simply just save or schedule the visitor.
Click "Admit/Open" to admit the visitor and open the door/gate if configured.
Click "Admit/Print" to admit the visitor and print a badge/pass if configured.
Click "Admit/Print/Open" to admit the visitor, print a badge/pass, and open the door/gate if configured.
Click "Close" to cancel out.
28. Clicking on a phone number, if configured and setup and the PC has a microphone and speaker, will call the phone number directly from the app.
29. To edit or admit an existing visitor, click the row in the visitor grid.
30. The visitor pane will slide out to process further, with all the fields pre-filled with the existing visitor information.
31. Next we will cover the "Parties / Events" feature. Click the option in the menu on the left.
32. The list will list all current parties/events. Clicking on any particular party/event row, will open a window containing a list with all visitors associated with the item.
33. You can filter and search for any visitors by typing in the text field.
Click the X to close the window.
34. Moving on to the "Daily Report Activities" module, which will appear if the module is activated. Click the option in the menu on the left.
35. If there are no current daily activity reports open for the shift, a window will open to start a new report. The officer will fill out the details and hit the "Save" button to continue.
36. To add a new activity, click the "+" button.
37. Fill in the fields and click "Save" when finished.
38. Next up is the "Passdown Logs" module, which will appear if the module is activated. Click the menu option on the left.
39. Click the "+" button to add a new entry, fill in the notes field, and click "Save".
40. On to the "Access Transactions" module, which will appear if the module is activated. Click the menu option on the left, which will open a window displaying live access events in real time.
41. You can filter by typing in the filter text field, as well as filtering between granted and denied events in the dropdown. This window can be kept open on a second screen while you process visitors.
42. Click "Remote Access Control", which will appear if the module is activated. A popup window will appear to remotely open various gates/doors.
Under the "Post Access" tab you will find AllBoxes installed remotely, configured to open the door/gate.
43. Under the "Controller Access" tab, you will find the doors/gates that can be remotely "pulsed" open, or held open until closed.
44. Moving on to "Key Management", which will appear if the module is activated.
45. Various "keys" will be visible, depending on what's been added. You can sign a key out potentially to a visitor by clicking "Sign Out" on the key, or "Sign In" if the key is being returned.
You can filter and find any particular keys as well by using the filter fields at the top.
46. To update limited profile information of the logged in user, click the users name, and then click "Edit Profile".
47. A window will appear with available fields. Click "Save" or "Cancel"
